Privacy Policy – HNPL ERP

This Privacy Policy explains how Heera Nutritech Private Limited ("Heera Nutritech", "we", "us", "our") collects, uses, stores and protects information when you use the HNPL ERP mobile application (the "App").
The App is a business application used by authorised users of Heera Nutritech to record sales visits, dealer and farmer surveys, orders, payments, expenses, stock and related business records. User accounts are created by the Heera Nutritech administrator; the App does not offer public sign-up.
1. Information we collect
a) Account and profile information
- Name, mobile number, email address and address
- User ID, user role and the sales area allocated to you
- Profile photo (optional)
b) Location
- Precise and approximate device location when you record a sales visit, survey, order or other field activity, so that the record shows where the activity took place.
- Location is collected only while you are using the related feature in the App. We do not track your location in the background.
c) Photos and documents
- Photos you take with the camera or choose from your gallery and attach to a record, such as profile photo, product photos, payment receipts, cheques, invoices, weighbridge slips, application forms, identity documents for credit applications, and fixed-asset photos.
- The App only accesses the specific image you select. It does not read or upload the rest of your photo gallery.
d) Business records you enter
- Survey details, customer, dealer and farmer details, orders, return orders, payments, collections, expenses, stock, follow-ups and support requests that you enter in the App.
e) Device and app information
- Device identifiers, including the push notification token and advertising ID (used only for analytics, never for advertising).
- Crash logs and diagnostic information, such as device model, Android version and app version, when the App crashes or encounters an error.
- Basic usage information about how the App's screens and features are used.
2. How we use information
- To sign you in and verify your identity using a one-time password (OTP) sent to your mobile number.
- To provide the App's features: recording visits, surveys, orders, payments, expenses, stock and approvals.
- To manage your account, role and allocated sales area.
- To send notifications about orders, approvals, notices and other business updates.
- To monitor App stability, fix crashes and improve performance.
- To maintain business records and comply with legal, tax and accounting obligations.
We do not use your information for advertising, and we do not sell your information.
3. Sharing of information
We do not sell, rent or trade your information and do not share it with third parties for their own purposes. Information may be accessed only by:
- Authorised Heera Nutritech personnel, such as managers, supervisors and administrators, as needed for business operations and approvals.
- Service providers that process data on our behalf, under confidentiality obligations. For example, Google Firebase is used for push notifications (Firebase Cloud Messaging), crash reporting (Firebase Crashlytics) and app analytics (Google Analytics for Firebase).
- Authorities, where required by law or to protect our legal rights.
4. Data security
- All data sent between the App and our servers is encrypted in transit using HTTPS (TLS).
- Access to data is limited to authorised users based on their role.
- Temporary image files created while selecting or cropping a photo are stored in the App's private storage on your device.
5. Data retention
We keep account information while your account is active. Business records, such as orders, payments, surveys and expenses, are kept as long as needed for business purposes and to meet legal, tax and accounting requirements. Crash and analytics data is kept by our service providers for limited periods according to their standard retention settings.
6. Account and data deletion
- You can delete your account from within the App using the Delete Account option in the menu.
- You can also request deletion of your account and personal data by emailing info@heeranutritech.com from your registered email address, or through your Heera Nutritech administrator.
- Some business records may be kept after account deletion where required by law or for legitimate business, tax or accounting purposes.
7. Permissions used by the App
- Location: to record where a visit, survey or order took place.
- Camera: to take photos of documents, receipts and products to attach to records.
- Photos (gallery picker): to attach an image you choose. On older Android versions this may require storage permission.
- Notifications: to show order, approval and notice updates.
You can change these permissions at any time in your device settings. Some features may not work without them.
8. Children
The App is intended for business use by adults. It is not directed to children under 18, and we do not knowingly collect personal information from children.
9. Changes to this policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a new "Last updated" date.
